Job Description

Our client is in search of a strong individual to help support the day to day operational functions within the Audio Visual (AV) requirements across their Sydney campus, to ensure all technical aspects are coordinated and seamless client experience is delivered. 


Reporting to the Senior Manager of Functions and Events and collaborating with the Guest Relations and Technology team, the AV Guest Relations Manager will be delivering the best-in-class results while forging relationships with clients, vendors, and in-house partners alike to ensure successful delivery of every meeting and event. This role would suit an individual with tech knowledge and strong customer service skills looking for consistent hours, Monday to Friday only.
 

THE ROLE
 

  • Coordination of pre=meeting and event planning of all technical requirements within Guest Relations managed spaces
  • Establishment of effective communication framework to ensure all client requirements are managed 
  • Provide and maintain effective daily communication channels with the Workplace Technology team to ensure all client requirements are communicated and actioned 
  • Define and manage service-level agreement with Workplace Technology to ensure clarity and effective framework in place to support client service delivery
  • Manage a high volume of communication with the business to coordinate all client AV requirements including but not limited to AC, VC, WebEx, presentation, lighting, and sound equipment 
  • Manage the Guest Relations AV team and oversee the delivery of AV services within Sydney Guest Relations spaces and provide support and guidance to the global team 
  • Define and maintain AV standards globally to maximise value to the client
  • Coordinate multipoint requirements with global Guest Relations teams
  • Oversee of next day and future bookings to ensure all details are complete and required timeframes are managed to enable pre-testing and planning when required 
  • Understand and comply with all Guest Relations operational procedures and standards including reporting feedback and incident management 
  • Maintain operational guidelines for AV service within Guest Relations spaces, including contingency planning documentation and team communication, in collaboration with Work Place Technology 
  • Adhere to and implement all health and safety procedures 
  • Support the client floor standards, ensuring meeting rooms and spaces are maintained
  • Provide training and support to all Guest Relations functional areas for product knowledge and client support
  • Roster coordination for Guest Relations Audio Visual team, collaborating with Technical team to ensure all Guest Relations requirements have been captured
  • Responsible for recruitment of all Guest Relations Audio Visual staff
  • Work collaboratively with Workplace Technology to identify AV requirements 
  • Ensure effective cost recovery for services provided and absorb reporting accountabilities 

 
SKILLS KNOWLEDGE AND EXPERIENCE
 

  • Strong leadership and management skills 
  • Strong organisation and time management skills
  • High level of attention to detail 
  • Strong verbal and written communication
  • Competent in the use and service of AC, VC, WebEx, polycoms, navigating both Mac and Windows laptops, LCD screens, pro audio and live streaming 
  • Understanding of internal networks and firewalls
  • Broad understanding of video conferencing in both IP and ISDN including bridging, Cisco systems
  • Technical knowledge in sourcing equipment for the delivery of complex audiovisual event requirements
  • Competent experience with the use of Visio / AutoCAD for creating venue plans
  • Delegation skills - able to priorities accordingly and exercise flexibility in handling a variety of tasks
  • Complaint handling - able to resolve problems as they arise in an appropriate manner
  • Excellent personal presentation

 

QUALIFICATIONS
 

  • Tertiary qualification in related discipline
  • Minimum of 5-years technical production experience including large events and shows in a premium or corporate or 5-star hotel environment
  • Proved leadership and management skills for a small AV team
  • Administrative skills - Word, PowerPoint, Excel, and Outlook (Microsoft Office)
